1.Who this covers
This policy explains how Dictode & Chikito LLC (“we”, “us”) handles personal information in two places: this website (https://www.flowyana.com) and the Flowyana platform — the web application and the point-of-sale app that our customers use to run their businesses.
If you use Flowyana as an employee or customer of one of our business customers, that business decides what data goes into the platform and why. We process it on their behalf under our agreement with them; questions about how a particular business uses your data should go to that business first.
2.What this website collects
Very little. The website is a set of static pages. It does not set cookies, does not run analytics or advertising trackers, and does not embed third-party scripts.
- When you use the contact form, the message is composed in your own email app and sent by you. The website itself stores nothing.
- When you choose WhatsApp or a phone call, you are using those services under their own terms and privacy policies.
- Our hosting provider may keep standard server logs (such as IP address, browser type, and pages requested) for security and reliability.
3.What we collect when you contact us
When you email, message, or call us about Flowyana, we keep what you share — typically your name, business name, contact details, what your business runs, and your questions — so that we can reply, prepare a proposal, and follow up. We do not sell this information or add you to third-party marketing lists.
4.What the Flowyana platform collects
When a business becomes a customer, the platform holds the information needed to run it:
- Account information for the people who sign in — names, email addresses, roles, and branch assignments.
- Business data the customer enters or generates: clients and contacts, products and stock, sales and purchase documents, accounting records, employee and payroll records, bookings, rentals, tickets, and similar operational records.
- Operational logs, such as audit trails of who changed what and when, which exist so the customer can hold its own records to account.
- Data kept on point-of-sale devices so that the till keeps working without an internet connection. That data is stored in encrypted form on the device and synchronised to the customer’s workspace when a connection is available.
The customer owns its business data. We use it only to provide, secure, support, and improve the platform, and as our agreement with the customer allows.
5.How we use information
- To provide the platform and keep it running, secure, and supported.
- To respond to enquiries, prepare proposals, and manage customer relationships.
- To send service communications — for example about onboarding, changes to the platform, or security matters.
- To meet legal, accounting, and regulatory obligations.
We do not use customer business data to build advertising profiles, and we do not sell personal information.
7.How we protect it
Security is built into how the platform is designed, not added afterwards:
- Each customer’s data is kept strictly separate from every other customer’s.
- Access inside a workspace is governed by roles and permissions, and can be limited to specific branches.
- Sensitive actions are written to audit logs the customer can review.
- Data held on point-of-sale devices is encrypted on the device.
- Access to production systems by our own team is restricted to what is needed to operate and support the service.
No system can promise absolute security. If we become aware of a breach affecting your data, we will notify affected customers as required by law and our agreement.
8.How long we keep it
We keep a customer’s platform data for as long as the customer’s agreement with us is in force, and afterwards for the period needed to hand data back, wind down the workspace, and meet legal or accounting obligations. Enquiry records are kept for as long as they are useful to the conversation and any resulting relationship. Specific retention and deletion arrangements for a customer’s workspace are set out in that customer’s agreement.
9.Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information about you, and to object to certain processing. Where the platform holds your data on behalf of one of our customers, we will direct your request to that customer and assist them in responding.

10.Children
Flowyana is a business tool. It is not directed at children, and we do not knowingly collect personal information from anyone under 18 through this website.
11.Changes to this policy
We may update this policy as the platform and the law evolve. The date at the top shows the current version. For material changes affecting customers, we will give notice through the platform or by email.
